Advanced laundry software (POS) for order intake, garment tracking, billing and delivery
Perfect Laundry needed a point-of-sale system designed specifically for laundry rather than a generic retail billing tool. The counter staff had to record items quickly, apply the right service prices, issue a receipt and attach a clear reference so that the order could be found later. Behind the counter, the team needed to know what was in progress and what was ready.
Generic POS software typically assumes a customer buys something and leaves with it. A laundry order is different: it takes time, has several statuses, may be paid at drop-off or at collection, and often involves repeat customers with standing preferences. The software had to model that lifecycle properly.
A laundry business sells a service that customers cannot easily inspect: they hand over clothes and trust the business to return them clean, undamaged and on time. That trust is built on small details, such as an accurate count of items at drop-off, clear pricing, a receipt, and a reliable way of finding a customer's order when they return.
Operationally, a laundry is closer to a small factory than a shop. Items arrive in varied quantities and types, move through washing, drying, pressing and packing, and are then collected or delivered. Each order has its own price based on service type and garment, and its own deadline. Lost items, mix-ups and disputes about what was handed in are among the most common causes of lost customers.
Many laundries rely on paper tags and handwritten tickets. This is simple but fragile: tickets are misplaced, totals are calculated by hand, and there is no easy way to see the status of an order, look up a customer's history or understand how busy the week has been.
✓ Record laundry orders quickly at the counter with correct service pricing
✓ Issue clear receipts and unique order references
✓ Track each order's status from received to ready to delivered
✓ Store customer details and order history for repeat business
✓ Record payments, including payment on collection
✓ Reduce disputes and lost items through better records
The intake screen is built for speed. Staff select the customer, add garments and services, and the system calculates the total. A receipt with a unique reference is produced, giving both the customer and the shop a clear record of what was handed in.
Services such as washing, ironing and dry cleaning, and the garments they apply to, are stored with their prices. Price changes are made centrally, and every order picks up the right rate automatically.
Orders move through statuses that reflect the real process. Staff can see what is pending, what is in progress and what is ready for collection, and customers asking about their order can be answered immediately.
Customers are stored with contact details and complete order history. Repeat customers are recognised, and staff can see previous orders and preferences without asking again.
Invoices and payments are recorded in the system, including payment at collection, and outstanding amounts are visible. This helps the business keep its takings accurate and avoid uncollected balances.
Because every order, customer and payment is recorded, summaries of activity and takings can be produced without manual tallying.
We started by observing the flow of a typical day: how customers drop off, how items are counted, how work is organised and how orders are returned. We paid special attention to the moments where mix-ups happen, since the software's job is to prevent exactly those.
We designed the data around orders, customers, services and payments, with the order as the central record and its status as a first-class concept. This is what separates laundry software from retail billing: the order lives for days, not seconds.
The counter interface was refined for speed and low error rates. The common path of creating an order is short; services are easy to pick; totals are visible as they change; and receipts print clearly. We also considered the quieter back-office needs, such as looking up an order by customer, reference or date.
At drop-off, the customer is looked up or added, garments and services are entered, and the system produces a total and a receipt with a reference. The order is then marked in progress as it moves through the shop, and marked ready when it can be collected.
On collection, the order is found by reference or customer name, payment is recorded if it is outstanding, and the order is closed. The history stays with the customer for next time.
Perfect Laundry now runs its counter and orders on software built for laundry. Items and services are recorded consistently, receipts carry references, orders have visible statuses and customers have searchable histories. Payment and takings are recorded in the system rather than on paper.
The result is a calmer counter and a more trustworthy service. We have avoided inventing statistics; what the software provides is the structure to reduce mix-ups, answer customer questions quickly and give the owner a clear picture of the business.
